Administration Positions


Office Manager

  • Office security measures.
  • Establish and maintain vendor relationships.  Negotiate pricing and service.  Maintain appropriate levels of office supplies. 
  • Negotiate for and order all printing supplies including forms, letterhead, envelopes, and business cards.
  • Monitor and periodically re-negotiate price schedules on primary services, supplies, phone charges, Federal Express Fees, etc.


Adminstrative Assistant

  • Provide administrative support for the Property Managers, and other departments
  • This responsibility includes general clerical support, proof reading, document production, special mailing and other miscellaneous administrative duties.
  • Production of resale certificates


Receptionist

  • Answer incoming phone calls quickly and professionally
  • Announce the caller and/or transfer to voice mail           
  • Monitor incoming faxes and process
  • Monitor the postage machine/supplies
  • Sort and process the daily mail


Customer Service – Maintenance

  • Answer incoming calls from board members and homeowners in regards to maintenance issues.
  • Receive and follow up on emergency call log from answering service for after hour’s calls.  
  • Generate and fax work orders for maintenance work requested by homeowners, board members, on-site managers and property managers.
